Purpose

To set out the requirements for reporting sickness, managing absence, and administering Statutory Sick Pay (SSP) for temporary workers.

Scope

This SOP applies to all temporary workers engaged by Tudor Employment Agency.

Reporting Sickness

  1. Temporary workers must report sickness directly to Tudor Employment Agency if they are unable to attend a booked shift.
  2. Sickness must be reported before 6am on each day of absence. Where a worker is scheduled to start before 6am, sickness must be reported 6 hours before the shift start time.
  3. Workers must report sickness via the agreed method:
    • Telephone call to the office using the Absence Line – 01922 700408
  4. When reporting sickness, workers must provide:
    • Full name
    • Client/site name
    • Shift date and start time
    • Reason for absence (sickness)
  5. Workers must not report sickness to the client site directly unless specifically instructed to do so by Tudor.
  6. Failure to report sickness correctly or on time may result in the absence being treated as unauthorised and may affect eligibility for SSP and future shifts.

Evidence of Sickness

  • Days 1–7: Self-certification applies (SC2 must be submitted on day 2).
  • Day 8 onwards: A valid fit note (doctor’s certificate) must be provided.
  • Medical evidence must be submitted promptly to remain eligible for SSP.

Statutory Sick Pay (SSP)

  • SSP is paid in line with current UK legislation and correct absence reporting requirements.

Agency & Client Communication

  • Tudor will notify the client site of the worker’s absence where required.
  • Absence records will be maintained in line with statutory requirements.

Return to Work

  • Workers must confirm they are fit to return before accepting further shifts.
  • Any restrictions or ongoing health concerns must be disclosed to Tudor in advance.

Responsibility

  • Worker: Timely sickness reporting and provision of evidence.
  • Tudor Employment Agency: Absence recording, SSP assessment and payment, client communication.
